Privacy Policy

Effective Date: October 17, 2026

1. Introduction

This Privacy Policy (the “Policy”) describes how Eve-Healthcare, LLC, a wholly-owned subsidiary of MindHYVE.ai, Inc. (a Nevada corporation), together with its parent, affiliates, and subsidiaries (collectively, “Eve-Healthcare,” “MindHYVE,” “we,” “us,” or “our”), collects, uses, discloses, and otherwise processes information in connection with chirongrid.ai and any related web properties operated by us (collectively, the “Site”). This Policy applies solely to the Site as a marketing and informational property. It does not apply to the ChironAI™ Clinical Decision Support (“ChironAI CDS”) or ChironAI™ Occupational Medicine (“ChironAI OM”) software-as-a-service applications, which are governed by their own customer agreements and privacy terms.

By accessing or using the Site, you acknowledge that you have read, understood, and agreed to this Policy. If you do not agree, you must not access or use the Site.

2. Information We Collect

We collect the following categories of information.

2.1 Information you provide directly. When you submit a form on the Site — including the Contact page intake form and the demo-request, webinar-registration, and “notify me” forms — the form contents are transmitted to a MindHYVE-operated endpoint hosted on Microsoft Azure and recorded in our customer relationship management system, HubSpot, where they may create or update a contact record and, for a demo request, a sales opportunity. We may also send a notification of the submission to our team via Azure Communication Services. Fields collected vary by form and may include: name, work email address, practice or organization name, role, state or region, number of physicians, edition of interest, use-case description, procurement context, and any other information you choose to include. Our forms are intended for business inquiries; they are not designed for personal or patient health information, and we ask that none be included.

2.1A Meeting scheduling. If you book a demonstration or meeting through the Site, scheduling is provided by HubSpot’s meetings tool. We receive your name, email address, the time you select, and any answers you give to the booking questions, and a calendar invitation is sent to you and to the MindHYVE team member assigned to your meeting. Meetings may be held on Microsoft Teams.

2.1B Chiron on the Site (visitor chat). The Site offers a chat feature in which you can ask questions of Chiron, an artificial intelligence system. Chiron is not a person; it is identified as AI in the chat window. Your messages are processed by AI infrastructure that we operate on Microsoft Azure so that Chiron can answer from the published content of the Site. We do not use your chat messages to train any AI model. If you give us your email address in the chat, we record the conversation transcript against your contact record in HubSpot so that our team can follow up. If you do not give us an email address, we do not add the conversation to our customer relationship management system. Please do not enter patient or other health information into the chat.

2.1C Calculators, tools, and guides. The Site offers informational calculators, tools, and guides (for example, deadline, penalty, fee, and modeled return-on-investment estimates). We record that a tool was used, as aggregate usage analytics that do not include the figures you enter, so that we can measure which tools are useful. The figures you enter are processed in your browser and are not sent to us unless you ask us to email you your results or a guide. If you do, we collect your email address and the results you ask us to send, record them in HubSpot, and deliver them to you by email (which may include a PDF of your results) via Azure Communication Services. Please do not enter patient or other health information into any tool.

2.1D Partner referrals. If you arrive at the Site through a link shared by a member of the MindHYVE partner program, the Site stores a referral identifier (see Section 5) for up to 90 days. If you then submit a form or book a meeting, we associate your inquiry with that partner so that the referral can be recorded and credited under our partner program. In that case the referring partner may be told that their referral produced an inquiry and may be shown the organization and contact details you submitted, so that the partner can confirm the referral.

2.2 Information collected automatically. When you access the Site, we and our service providers may automatically collect technical information including IP address, device and browser identifiers, operating system, referring and exit URLs, pages viewed, dates and times of access, approximate geographic location derived from IP address, and other diagnostic data. This is collected via server logs, cookies, browser storage, and similar technologies operated by us and our service providers: Microsoft Azure Application Insights (performance and error telemetry, and aggregate usage events such as a tool being used or a demo being requested), Microsoft Clarity (session-replay and heatmap analytics, which you can turn off as described in Section 5), and HubSpot (form, meeting, and email analytics, and, where HubSpot’s tracking code runs on a page, page-view analytics associated with any contact record you create). We do not use advertising pixels or advertising networks on the Site.

2.3 Information from third parties. We may receive information about you from third parties, including business contact providers, analytics partners, advertising platforms, and individuals who reference you in communications to us (for example, when a colleague includes your name in a partnership inquiry).

2.4 Information we do not collect. We do not collect protected health information (“PHI”) through the Site. The Site is a marketing surface and is not designed to receive, process, or store PHI. If you submit PHI to us through the Site, you do so at your own risk; we will delete such information upon discovery to the extent practicable. We do not knowingly collect information from individuals under the age of 18.

3. How We Use Information

We use information for the following purposes:

  • to respond to inquiries and provide requested information;
  • to schedule and hold demonstrations, meetings, and webinars you request, and to send you results or guides you ask us to email;
  • to operate the Chiron chat feature and answer your questions;
  • to record and credit referrals made through our partner program;
  • to evaluate, develop, and improve the Site, our products, and our services (including by aggregating and de-identifying data);
  • to communicate with you about MindHYVE products, partnerships, and events, subject to your consent where required by law;
  • to detect, investigate, prevent, and respond to security incidents, fraud, unauthorized access, and other malicious or unlawful activity;
  • to comply with applicable legal obligations, including responding to lawful government requests and enforcing our terms and policies;
  • to establish, exercise, or defend legal claims;
  • for analytics, market research, and to understand how visitors engage with the Site; and
  • for any other purpose disclosed to you at the time of collection.

4. AI Disclosures

MindHYVE develops and operates Agentic AI Operating Systems. As they relate to this Site:

  • Your patient’s data stays in your tenant. The ChironAI CDS and ChironAI OM SaaS applications operate on a per-customer multi-tenant architecture where each customer’s clinical data, including any PHI, is isolated to that customer’s tenant by Row-Level Security policies enforced at the database layer. Customer data does not flow to other customers, does not flow to MindHYVE for cross-customer analytics, and does not flow to any model training pipeline.
  • No customer data is used for training. By construction. The proprietary reasoning models that power our products are trained on Eve-Genesis (Clinical Edition) — a 100% synthetic clinical reasoning corpus we construct from public clinical guidelines and structured reasoning templates. No customer data, no patient data, and no protected health information ever enters our training pipeline. This is an architectural property, not a policy promise: the architecture cannot leak what is not present.
  • Generative AI disclosure. Where any communication we send to you contains content generated or substantially generated by artificial intelligence, we will disclose that fact in accordance with applicable law, including California AB 3030.
  • Decision authority. Our products are decision-support systems. Substantive clinical, legal, financial, and other professional decisions are made by the licensed human professionals using our products, consistent with California SB 1120 and analogous obligations elsewhere.
  • Identification. Our AI specialists are AI specialists. They are not licensed clinicians or professionals, and we do not represent them as such, consistent with California AB 489 and analogous obligations elsewhere.
  • Chiron on the Site is AI and is not licensed. Chiron, the chat feature on the Site, is an artificial intelligence system. It is not a physician, attorney, billing professional, or other licensed professional, it does not hold any professional license, and nothing it says is medical, legal, or billing advice (California AB 489).
  • The physician reviews and signs. In ChironAI OM, Chiron drafts and organizes work for the physician. The physician reviews, edits as needed, and signs every report, and remains responsible for every clinical and medical-legal judgment. Where a health care provider uses generative AI in a communication to a patient, the disclosures required by California AB 3030 apply.
  • Calculators and guides are informational. The calculators, tools, and guides on the Site are general information and modeled estimates. They are not legal, medical, billing, or coding advice and do not create any professional relationship.

5. Cookies and Similar Technologies

We use cookies and similar technologies to operate the Site, remember preferences, measure performance, and analyze usage. They include:

  • Partner referral. When you arrive through a partner’s link (which carries an “mh_ref” or “ref” parameter), first-party browser storage keeps the identifier of that partner for up to 90 days (or only for your browsing session if you have opted out using “Your Privacy Choices”), so that an inquiry you make in that period can be credited to that partner (see Section 2.1D).
  • Attribution. Browser session storage that records the first page and campaign parameters of your visit; it is sent to us only as part of a form you choose to submit.
  • Preferences. Browser storage that remembers your privacy choice and Site preferences.
  • Performance and analytics. Cookies and storage set by Microsoft Azure Application Insights and Microsoft Clarity.
  • HubSpot. Cookies set by HubSpot when you use a HubSpot form or the meeting scheduler, or on a page where HubSpot’s tracking code runs.

We provide notice of these technologies through this Policy and on the Site rather than asking for consent before they run, as permitted by applicable law. You can opt out of Microsoft Clarity analytics at any time using the “Your Privacy Choices” link in the Site footer, and you can block or delete cookies through your browser settings. Blocking or disabling cookies or browser storage may affect certain Site features, and clearing it means a partner referral may not be credited. We honor Global Privacy Control (GPC) signals where required.

6. Disclosure of Information

We may disclose information in the following circumstances:

  • Affiliates and corporate group. Among MindHYVE, our parent, subsidiaries, and affiliated entities, for purposes consistent with this Policy.
  • Service providers and processors. Vendors that process information on our behalf — including hosting, analytics, communications, customer relationship management, and security service providers — under appropriate contractual protections. For the Site these include Microsoft (Azure hosting, Application Insights, Clarity, and Azure Communication Services) and HubSpot (customer relationship management, forms, meeting scheduling, and email).
  • Referring partners. Where you arrived through a partner’s link and then made an inquiry, the referring member of our partner program, as described in Section 2.1D.
  • Professional advisors. Attorneys, accountants, auditors, and other advisors, under duties of confidentiality.
  • Business transfers. In connection with a merger, acquisition, financing, reorganization, bankruptcy, receivership, or sale of all or a portion of our assets.
  • Legal compliance and protection. Where we believe disclosure is necessary to comply with applicable law, regulation, legal process, or lawful governmental request; to enforce our terms or policies; to detect, prevent, or address fraud, security, or technical issues; or to protect the rights, property, safety, or interests of MindHYVE, our customers, our users, or others.
  • With your consent. For any other purpose disclosed to you, subject to your consent where required.

We do not sell personal information for monetary consideration. We do not engage in “sharing” of personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act.

7. Your Rights

7.1 California residents. If you are a California resident, you have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”) and the California Confidentiality of Medical Information Act (“CMIA”) where applicable. These include the rights to know, access, correct, delete, and limit the use of certain personal information, and to non-discrimination for exercising any of these rights. To exercise these rights, contact us at privacy@mindhyve.ai. We will verify your request before responding.

7.2 European Economic Area, United Kingdom, and Switzerland. If you are in the EEA, the UK, or Switzerland, you have rights under the General Data Protection Regulation (“GDPR”), the UK GDPR, or applicable Swiss law, including rights to access, rectify, erase, restrict, port, and object to processing, and rights against solely automated decision-making with legal or similarly significant effects. Our legal bases for processing typically include consent, performance of a contract, legitimate interests (where overridden interests do not apply), and compliance with legal obligations. You may lodge a complaint with your supervisory authority. Contact us at privacy@mindhyve.ai to exercise these rights.

7.3 Other jurisdictions. We honor data subject rights provided under other applicable laws, including state consumer privacy laws in the United States, to the extent they apply.

8. International Transfers

MindHYVE is based in the United States and operates infrastructure in multiple regions. Information we collect may be processed in and transferred to jurisdictions outside of your country of residence, including the United States. Where required by applicable law, we implement appropriate safeguards for such transfers, including the European Commission's Standard Contractual Clauses, the UK International Data Transfer Agreement, and equivalent mechanisms.

9. Data Retention

We retain information for as long as necessary to fulfill the purposes described in this Policy, to comply with legal obligations, to resolve disputes, to enforce our agreements, and to maintain accurate records. Retention periods vary based on the type of information and the purpose for which it was collected. Contact records, form submissions, meeting records, and any chat transcripts recorded in HubSpot are kept while we have a business relationship or an open inquiry with you and are deleted on request, subject to our legal obligations. You may ask us to delete them at privacy@mindhyve.ai.

10. Security

We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, and destruction. No method of transmission over the internet or method of electronic storage is, however, entirely secure. We cannot and do not guarantee absolute security.

11. Children's Privacy

The Site is intended for adults. We do not knowingly collect personal information from children under 13 (or under 16 in jurisdictions where applicable). If we learn that we have collected personal information from a child without verified parental consent, we will take steps to delete such information.

12. Third-Party Links

The Site may contain links to third-party websites and services. We are not responsible for the privacy practices or content of such third parties. We encourage you to review their privacy notices before providing information.

13. Do Not Track and Global Privacy Control

Most web browsers offer Do Not Track (“DNT”) signals. We currently do not respond to DNT signals. We do honor Global Privacy Control (“GPC”) signals to the extent required by applicable law.

14. Changes to This Policy

We may update this Policy from time to time. When we make material changes, we will revise the Effective Date above and, where appropriate, provide additional notice (such as a notice on the Site). Your continued use of the Site after any update constitutes acceptance of the updated Policy.
